Who we are
This policy covers the Ellevate Omni website and its enquiry service. Ellevate Omni's ABN is 76 469 486 329. For privacy questions or requests, email imagine@ellevateomni.com.au.
What we collect
When you enquire, we ask for your name, email address, the services you are interested in and a description of your project. Your business name, website or social link, phone number, desired improvements and follow-up answers are optional. We may record which portfolio project led you to the form.
We keep relevant correspondence in our business email so we can review and respond to your request. If required details are missing, we may be unable to assess the enquiry or contact you.
Please do not submit passwords, payment details, sensitive personal records or confidential information about your customers or staff.
Why we use it
We use your information to understand what you need, assess whether the work is suitable, ask useful questions, communicate with you and prepare a proposal where appropriate. An enquiry does not commit either party to a project.
We do not sell enquiry information or add you to a marketing list. We share information with the service providers described below as needed to operate the service, or where disclosure is required by law.
Optional AI assistance
You can choose AI assistance to suggest relevant follow-up questions and summarise what you have described, or use standard questions instead. Your initial enquiry is emailed independently of that choice. Follow-up answers are emailed only when you choose Send details.
The optional AI feature uses OpenAI through Replit AI Integrations. It receives your project description and selected services and improvements, not the separate name, email, phone, business-name or website fields. Information you type into the description can still contain personal information, so please keep it focused on the project.
AI can make mistakes. You can correct its summary, and a person reviews your enquiry. The assistant does not agree to projects, set binding prices or make commitments on our behalf.
Storage, email and service providers
- Replit hosts the website, processes submissions temporarily, keeps limited security and delivery references, and provides the AI integration infrastructure. New enquiry content is not kept in a separate website lead database.
- Google Workspace handles business email. Initial enquiries and submitted follow-up details are emailed to our business inbox, with your email as Reply-To. This is where we manage enquiries.
- OpenAI processes the description and selected options only when you choose AI assistance.
- Clerk provides sign-in for existing private owner tools and historical records. Visitors do not need a Clerk account to enquire.
These providers may process information outside Australia, including in the United States and other countries where they and their service providers operate. We do not promise Australian-only storage. Locations can depend on the provider, service and account configuration.
You can read the relevant provider information: Replit security, Google Workspace data processing, OpenAI data processing and Clerk privacy. Contact us if you would like more detail about how they relate to your enquiry.
Security and browser storage
We use server-side access checks, input limits, spam controls and submission limits. Existing private owner tools are restricted to the approved, verified owner account. No online system can guarantee absolute security.
A secure cookie and temporary browser-tab storage allow you to continue an enquiry for up to 24 hours. This includes an encrypted copy of the submitted details and your follow-up progress. You can remove it by choosing Send another enquiry or closing the tab; browser session-restore features may retain tab storage. Expired state cannot be used to submit follow-up details. Historical enquiry cookies may last up to seven days. The sign-in service uses separate owner authentication cookies.
Hosting and security services may process technical request information to operate, protect and troubleshoot the website. Our delivery records contain references, keyed fingerprints and delivery status, not your message or contact details; they expire after 24 hours. Spam-control identifiers expire within 48 hours. Expired technical records are cleaned up during subsequent website activity rather than at an exact deletion time.
How long we keep enquiries
Our retention period for closed enquiries that do not become projects is 12 months after the last substantive contact. We review the relevant business-email correspondence for removal unless there is a valid reason to keep it, such as a legal obligation or an unresolved dispute. The same period applies to any historical website enquiries; changing this enquiry process does not automatically delete those records.
This is a managed review process, not instant or automatic deletion. If an enquiry becomes a client project, we keep the information needed to manage that work and meet contractual, accounting or legal obligations. Provider backups may retain copies for their normal retention cycles; we do not promise immediate removal from every backup.
Access, corrections and deletion requests
Email imagine@ellevateomni.com.au to request access to, correction of or deletion of your enquiry information. We may need to verify your identity before releasing or changing it. If we cannot fulfil a request, we will explain why, including any reason a record must be retained.
Questions or concerns
If you think your information has been handled incorrectly, email us with enough detail to understand your concern. We will review it and respond. Please avoid including unnecessary sensitive information.
If you remain dissatisfied, you can seek guidance from the Office of the Australian Information Commissioner. Its ability to handle a complaint depends on its jurisdiction.
Updates to this policy
We may update this policy when our services or information-handling practices change. The current version and its update date will be available on this page.
