Quoting and job management SaaS

JobMaid

JobMaid was built from firsthand experience owning, setting up and running cleaning and other service businesses—not just observing them from the outside. That experience includes operating businesses for others and overhauling pricing, administration and staff systems. The OG Business Handbook helped validate demand for practical cleaning-business tools before JobMaid was developed. The software brings that understanding into quoting, client history, recurring scheduling and employee workspaces: find where work gets repeated or details get lost, rethink the process, then build a connected way to manage it.

The problem

  • Quotes worked out by hand, in spreadsheets or from memory, so prices vary from job to job.
  • Client details and job history scattered across texts, emails and notebooks.
  • Accepted quotes typed again into a calendar, then sent again to staff.
  • Staff chasing addresses, checklists and job notes by message.

What we built

  • Applied the JobMaid brand consistently across the website, application, email templates, PDF documents, help guides and app icons.
  • A multi-user web application with an owner workspace and separate employee access.
  • The Pitch: quotes built from job details using our original cleaning-estimation system, also used within the Clean Space and Barrington Coast websites, and saved against a client.
  • A quote-to-job handover, recurring scheduling and staff assignment.
  • An employee view for jobs, checklists and time logs that works in a phone browser.

From quote to the cleaner’s phone

  1. 01Build the quote in The Pitch
  2. 02Save and link it to the client
  3. 03Customer accepts the quote
  4. 04Owner selects Book this job and checks the schedule
  5. 05Assigned staff see the job and checklist

Booking is owner-led. A customer accepting a quote does not create a booking on its own.

Key functionality

The Pitch

The owner’s main entry screen for building quotes. Pricing logic stays inside the product; customers see a clear final quote.

Client records and history

Each client keeps their quotes and jobs together, so repeat work starts from what is already known.

Quote to booked job

A saved, accepted quote becomes a job with Book this job. The owner checks the scheduling details before it is saved.

Scheduling and assignments

Recurring jobs, a scheduling calendar and staff assignment in the same place as the quote.

More features (7)

Employee access

Onboarding, assigned jobs, job checklists and time logs for staff.

Reviewed AI email drafts

Drafted customer emails that the owner reads and approves before sending.

Reminders

Reminders that keep follow-ups and upcoming work visible.

Google Calendar export

Optional one-way export of booked jobs to Google Calendar.

Accounts and plan-based access

Account sign-in, Stripe subscriptions and separate owner/employee roles control the tools available to each user. Features vary by plan and add-on.

Connected records and communication

Client contacts, service preferences, agreements and saved quote/job history stay linked. Direct client email and configured reminders are separate from quotes prepared in the owner’s email app.

Imports and in-app help

CSV and AI-assisted imports, how-to resources and an in-app AI help assistant support day-to-day use. Invoicing is not included in this showcase.

Why it matters

What it changes for the business.

  • Job details are entered once and carried from quote to calendar to staff, instead of being re-typed at each step.
  • Quotes follow the same method every time, which keeps pricing consistent between jobs.
  • Assigned staff can find the address, checklist and notes without asking the owner to resend them.
